1.  Who are we?
We are the North Somerset Constituency Parliamentary Office. The current Member of Parliament for North Somerset is Liam Fox. The office discharges the duties and functions of an elected Member of the UK Parliament including providing advocacy, help and assistance for residents of North Somerset.

2. What do we hold and process and why?

We hold the following data about you: your full name, address. We may also hold your NI number, passport number, telephone numbers, email addresses and special category data (e.g. political opinions, religious beliefs, trade union activities, sexual orientation, race and ethnic origin, details of criminal offences, physical and mental health) We may also hold correspondence from you.

We collect personal data so we can process your request for assistance. Our legal basis for processing your personal data is Article 6(e) of the General Data Protection Regulation, i.e. to allow Liam Fox to carry out his duties as your Elected Representative in the exercise of official authority. We have no further interests beyond acting in connection with your request and your data will not be passed to third parties except to comply with a legal obligation or with your explicit consent. We may need to pass your data on to third parties for example local authorities, the CCG etc to resolve your enquiry.

We hold your data on the Cross Reference electronic database and on paper.

The Office also maintains a mailing list of around 600 subscribers to the Liam Fox MP Mailing List. These subscribers receive Liam’s quarterly newsletter and information about upcoming advice surgeries. Personal data we hold in this regard are names and email addresses held on mailchimp. This information we send is not political in nature and therefore it is not categorised as direct marketing.

3.  Consent and disclosure

Under GDPR Liam Fox’s Constituency Office can hold and process your data without your explicit consent.  However, we will obtain your consent if legally required before we pass your data on to third parties. We do not send your data to any third country without your express consent and will only do so to resolve your enquiry.

You may withdraw your consent for us to hold and process your data at any time by contacting our office. Note that if you wish to delete records of your address you must contact the Electoral Office directly.

4. Retention period

We will process personal data until we have resolved your issue and store electronic data for six years.  We retain paper records for three years. This is to allow us to build up case history and to return to your records when further matters arise.

5. Your rights

Your personal data is your data.  You have a right to know what data we hold about you, for your data to be erased or to complain.  In the first instance you can contact our Data Protection Officer and if not satisfied you can contact the Information Commissioners Office www.ico.org.uk

6. Complaints
In the event that you wish to make a complaint about how your personal data is being processed by Liam Fox’s Office or how your complaint has been handled, you have the right to lodge a complaint directly with the information Commissioners Office and Liam Fox’s Office’s Data Protection representatives.
